Use this guide as the family instruction manual. It explains how to back up and restore the app, install it on phones and computers, move it to another device, and use each planning panel step by step.
💾 How to Back Up the App
A backup saves the family app data into a JSON file. Keep a backup before big edits, before switching devices, and after major reunion updates.
- Open the menu or Help page.
- Tap Backup Data.
- Your device downloads a file named kinfolk-reunion-backup.json.
- Save that file somewhere safe, such as iCloud Drive, Google Drive, Dropbox, OneDrive, or a folder on your computer.
- Rename the file with the date if you want to keep several versions, such as kinfolk-backup-2026-07-05.json.
📂 How to Restore a Backup
Restore brings a saved backup file back into the app on the same device or a different device.
- Open the app on the device where you want the family data.
- Tap Restore Backup from Help, Reports, or the menu.
- Choose the saved .json backup file.
- Wait for the success message.
- Check Members, Family Tree, Photos, RSVPs, T-Shirts, and Reunion Planning to confirm the data loaded.
📱 Install as a PWA on iPhone or iPad
Installing puts the app icon on the Home Screen so it opens like a normal app.
- Open the app link in Safari.
- Tap the Share button.
- Scroll and tap Add to Home Screen.
- Keep the name or rename it for your family.
- Tap Add, then open the app from the new Home Screen icon.
🤖 Install as a PWA on Android
Android users can install the app from Chrome and open it from the phone's app screen.
- Open the app link in Chrome.
- Tap the three-dot menu.
- Tap Install app or Add to Home screen.
- Confirm the name.
- Open KinFolk from the new app icon.
💻 Install on Windows, Mac, or Chromebook
Desktop users can use the app from the browser or install it as a windowed app.
- Open the app link in Chrome, Edge, or another browser that supports web app installs.
- Look near the address bar for an Install icon, or open the browser menu.
- Choose Install KinFolk Reunion App or Install this site as an app.
- Confirm the install.
- Pin it to the taskbar, dock, or shelf if you want quick access.
🔁 Move the App to Another Device
Use backup and restore when moving family data from one phone, tablet, or computer to another.
- On the old device, tap Backup Data.
- Save or send the backup file to yourself.
- Open the app link on the new device.
- Install the app if you want a Home Screen or desktop icon.
- Tap Restore Backup and select the backup file.
- Review the Family Tree, Members, Photos, and Reunion sections.
🔐 Admin / Planner Access
Admin mode unlocks planning controls and private management tools.
- Tap Admin / Planner Login in the menu.
- Enter the family PIN. The demo PIN is 2468.
- Use Planning Center, Reports, Exports, Announcements, and admin-only edit tools.
- Use Reset PIN if the organizer wants a different PIN.
- Switch back to Home or Guest View when showing the app to others.
🏠 Dashboard
The dashboard is the home base for the family app.
- Review the top cards for members, RSVPs, T-shirts, photos, stories, and planning status.
- Tap any card to open that section.
- Use Quick Actions for common tasks like adding family, submitting RSVP, uploading photos, or sharing the app.
- Check Upcoming Schedule and Recent Additions for current activity.
👑 Planning Center
Use Planning Center to control the private setup details for the reunion app.
- Log in as Admin / Planner.
- Set the admin PIN, organizer contact, photo limit, and photo size limit.
- Save settings after changes.
- Use the Reunion Planning panel for date, location, hotel, agenda, meals, and calendar events.
🧑🏾 Family Members
This is the family directory.
- Open Family Members to search and review the directory.
- Use Add Family Member to add a person.
- Enter full name, preferred name, branch, contact info, city/state, story, and photo when available.
- Select parents when known so the family tree can connect correctly.
- Save, then check the Members list and Family Tree.
🌳 Family Tree
The Family Tree shows how members connect through parents and ancestors.
- Add older ancestors first when possible.
- Add children and choose their parents from the dropdowns.
- Open Family Tree to confirm the branch appears correctly.
- If someone is missing from the tree, edit that person's parent selections.
- Use backups before doing large family tree updates.
🌿 Branches
Branches group relatives by family line.
- Use a simple branch name such as "Founders Line" or "North Carolina Line."
- Enter the same branch name for relatives who belong together.
- Open Branches to review grouped members.
- Use consistent spelling so the app does not split one branch into two names.
📅 Reunion Planning & Calendar
This panel holds the reunion details and the live planning calendar.
- Log in as Admin / Planner.
- Add reunion name, date, location, hotel/travel info, agenda, and meal assignments.
- Use the calendar to add events, deadlines, committee meetings, and to-do dates.
- Choose visibility for family-facing events or admin-only planning items.
- Review the dashboard to confirm the date and location preview updated.
✅ RSVPs
Use RSVPs to track who is coming and how many people they are bringing.
- Open RSVP.
- Enter name, branch, status, number attending, and notes.
- Save the RSVP.
- Admins can review the RSVP list and totals.
- Back up after major RSVP updates.
👕 T-Shirt Orders
Use this panel to collect shirt sizes, quantities, payment status, and order notes.
- Enter the person's name, branch, contact, shirt size, quantity, and paid status.
- Add any notes such as youth/adult fit, pickup request, or payment reminder.
- Save the order.
- Admins can review size totals before ordering shirts.
📷 Photos
Use Photos for family pictures, ancestor photos, reunion memories, and planning images.
- Open Photos.
- Add a title and who shared it.
- Select an image from the device.
- Save the photo and confirm it appears in the gallery.
- Make a backup after adding important photos.
📖 Stories
Stories preserve family memories, reunion notes, and ancestor history.
- Open Stories.
- Add a clear story title.
- Add who shared the story.
- Write the story or memory.
- Save and check that it appears in the story list.
🕊️ Memorials
Memorials honor loved ones and keep cemetery or remembrance details together.
- Enter the person's name, branch, birth date, passing date, and cemetery or burial location.
- Add who submitted the memorial.
- Write a tribute, memory, or short family note.
- Save and review the memorial list.
❤️ Fundraising
Use Fundraising for reunion costs, cemetery funds, scholarship support, or other family efforts.
- Log in as Admin / Planner.
- Enter the fund name, goal amount, current amount raised, purpose, and donation instructions.
- Save the fund.
- Update the raised amount as donations come in.
🎓 Scholarship
Use Scholarship to share family scholarship details in one place.
- Enter scholarship name, deadline, purpose, eligibility, and application instructions.
- Save the scholarship details.
- Tell family members to check this panel before the deadline.
- Update instructions if the committee changes requirements.
📢 Announcements
Announcements keep family members informed.
- Log in as Admin / Planner.
- Enter an announcement title and message.
- Choose visibility: family and guests, family only, or admin only.
- Post the announcement.
- Use announcements for deadlines, location changes, payment reminders, and reunion updates.
📄 Documents
Documents store important files and records inside the app.
- Add a document title.
- Choose the document type.
- Add a short description.
- Upload a PDF, image, document, or text file.
- Save the document record and confirm it appears in the list.
🔗 QR & Links
QR codes make it easy to share the app at meetings, reunions, or on printed flyers.
- Open QR & Links.
- Use the Family Member QR for relatives adding information.
- Use the Guest View QR for people who only need to see public details.
- Use the Admin QR only with trusted planners.
- Copy links for text messages, emails, flyers, and printed handouts.
👁️ Guest View
Guest View is for people who should see reunion details without admin controls.
- Open Guest View from the menu.
- Review the read-only reunion information.
- Share the Guest QR or Guest link with visitors, vendors, and extended family.
- Keep admin-only information out of guest-facing announcements.
📊 Reports & Exports
Reports help organizers print, save, and review reunion data.
- Log in as Admin / Planner.
- Use Print Full Report for a paper or PDF copy.
- Use Backup Data for a full JSON backup.
- Use CSV or PDF exports when you need lists outside the app.
- Use Import Backup only when you are ready to replace the current device data.
📇 Family Contacts
Private by default: phone numbers, email addresses, mailing addresses, and private notes entered here are held for admin/planner use only. They are not shared publicly in the guest view, family tree, branch pages, or public directory.
